What is the St. Alphonsus Auction?

The St. Alphonsus Auction is the primary fundraiser sponsored by the St. Alphonsus Home and School Association.  This fundraiser provides the budget for all Home and School programs such as Catholic Schools Week, Family Bingo, Father-Daughter Dance, etc. Click here for more information on where the proceeds go.  All proceeds directly benefit the students of St. Alphonsus School.

This year’s auction theme is, “Port of Call – Set Sail to the Mediterranean.”   A Mediterranean cruise featuring ports such as Spain, France, Italy, Greece and Egypt. There will be a Monte Carlo Casino with Black Jack, Craps and Roulette.  A live performance by our 8th graders directed by our talented Music Teacher, Mrs. Stack. A buffet dinner and a French Patisserie featuring desserts and goodies.  Of course, our traditionally classic silent and live auctions featuring many coveted items donated by generous local businesses, school families, parishioners, teachers and students.  This event promises to be a fun-filled night you’ll remember!

Tickets will also be sold after all masses on Saturday, October 23rd and Sunday, October 24th in the Narthex.

How do I get involved ?

DONATE: The easiest way to contribute is to make a donation.  Items of all types are welcomed.  Some ideas are listed below in the "How Do I Donate?" section.

ATTEND: The MOST IMPORTANT way to get involved is to buy tickets and join us for a great night out.  It's a ton of fun and you can get some Christmas shopping taken care of early! 

Invitations with event tickets and raffle tickets will be sent home with your student via the family envelope on Wednesday, October 13.  Tickets will also be sold after all masses on Saturday, October 23 and Sunday, October 24 in the St. Alphonsus Narthex.

VOLUNTEER: We are always in need of volunteers. We have tasks that can be done from home or at school.  It is truly a group effort and a great way to get to know the other parents in the school community. A brief summary of committees and contacts for Auction 2010, “Port of Call” follows:

General Chairs:          Michele Gallagher (tpgall@msn.com)

Data Management: Chair Kathy Tavolaro (ktavolaro@verizon.net)

Enters and Tracks all donated items.  Sorts items into raffle prizes, online auction, silent auction and live auction.  Designs and assembles the auction program.  Prints bidder sheets and bidder numbers for programs the week of the event.  Works closely with Gift Organization Committee.

Solicitation:     Joanne Quinn, joannevquinn@verizon.net
This is the greatest area of need. Follows up on solicitation letter to get physical items for silent and live auction. Obtains online ads and program ads. Solicitation Team members each have a list of prior business donors and some new business contacts that they are responsible for soliciting. This committee includes “Gift Gathering.”

Works closely with Data Management to design, edit and assemble the auction program.

Class Projects:   Maura Zimmerman (mmurphz@yahoo.com)

Works with students and school parents to create innovative class projects to be donated and sold during the silent auction.

Bank:              Judy Morrissey (morrisseyclan@verizon.net)

Works check-out in computer room primarily at the end of the auction (can attend early auction festivities, but will not attend the LIVE auction). Makes sure that customer bills coordinate with the physical items sent home with customers at the end of the evening.

Publicity:         Kathy Reilly (skreilly@comcast.net)

Coordinates all publicity for the auction to local businesses, school families and parishioners. Creates new auction logo, writes articles and announcements for local newspapers, church bulletin, school community, and back to school night.

8th Grade Coordinator:           Mari Greipp (privadoplaya@cavtel.net)

Supervises 8th grade students the night of the auction. Facilitates preparation for their live performance.

Decorating:   Chair needed

Works with auction co-chairs to establish decorating idea for gym based on the theme of the event and the budget.  Has team to decorate gym, hallway and bathrooms for the week of the event. Also works with catering chair to establish color scheme for table cloths and food display.

Gift Packaging:  Mary Dolaway (marydolaway@msn.com)

Packages donated items to be displayed at the auction.

Invitations/Raffles:  Joanne Hunter (bekhunter@comcast.net)

Designs and orders invitations and raffles.  Mails all invitations to school families and handles rsvps.

Catering:  Michelle DiNicola (pmdinicola@verizon.net)

Oversees food for the night of the auction.  Meets with caterers to establish menu based on budget and theme for the event. Coordinates food presentation the night of event.  Works with decorating chair to coordinate color scheme for table cloths and food display.  Orders plates, napkins, cutlery and cups for bar.  Helps with table set up 3 days before auction.

Bar:  Fred Larivee (tmlarivee@hotmail.com)

Orders all beverages for the bar and arranges bar tenders for the night of the auction.  May suggest a special drink for the night of the auction in accordance with the auction theme.

Gift Display: Donna Marzullo (dtmarzullo4@aol.com)

Supervises the arrangement of donated items on silent auction tables, and raffle prizes for casino, over two day set up the week of the auction. Makes sure that bidder sheets match up with each item and that each item number/price matches up with the printed program.  Works closely with Gift Organization Chair.

Gift Organization:  Deb DeAngelis (dtdeangelis@comcast.net)

Helps data management sort and assign donated items.  Coordinates physical donations in storage room to assigned areas.  Also works closely with packaging team to get items wrapped and tagged properly.

Distribution:  Suzie Devlin

Distributes physical items from silent auction, live auction and raffle to the proper customer. Makes sure that customers receive items as per the winning bidder number.

Clean Up:

Breaks down all tables and cleans up gym, hallway, stage and bathrooms after the auction.

How do I donate?  Donation form

The easiest way to donate is online at stalphonsus.maestroweb.com.  You can also fill out a donor form with your name and the item you'd like to donate and send it in to school addressed to “Auction Committee”.  Extra donor forms can be found on the entrance table at school or click here to download one.

Some suggestions for donations that have worked well in the past are listed below:

When considering your donation, it may also be helpful to think of items that your children want for Christmas.  Other students his/her age probably have similar interests and many parents will be shopping for Christmas.

The sky is the limit so be creative! Any donation you make is greatly appreciated. All donations directly benefit the children of St. A's.

Please return all auction donations by October 15, 2010.  Any donations received after October 15, 2010 are unable to be included in the Auction Program but will be posted on the Saint Alphonsus Auction Website:  stalphonsus.maestroweb.com

The Classroom with the most donations by October 8, 2010 wins the annual Auction Pizza Party!

Where do the proceeds go ?

The proceeds from this Auction fund fixed expenses such as after school programs, assemblies, the school library, replenishing science lab materials, etc.  In addition, we sponsored major enhancements to the instructional environment at St. A’s.  Some past projects were:

v     A state-of-the-art science lab

v     School security system

v     Networked computer lab

v     Leading edge digital imaging equipment and software

v     Classroom phone and voicemail system

v     Playground equipment, Basketball & Volleyball Sports Court

v     New Math Series for Grades K-6

Where and when can I get tickets ?

Tickets are available for purchase through the family envelope beginning in early/mid-October or by calling the auction office at 215-646-0150 or by e-mailing auction@stalphonsus.com.  They will also be sold in the narthex after masses during the weekend of October 23rd & 24th.

How do I use the Auction Website?

§         You can see how the auction is coming together by checking out the Saint Alphonsus Auction Website.

§         All donations and advertisements will be posted to the website as they are received.

§         Get a head start organizing your auction night strategy by creating your own auction wish list online.

SPECIFIC WEBSITE INSTRUCTIONS
o       Enter the website at stalphonsus.maestroweb.com  (do not type www prior to the website address)
o       Preview items by clicking on categories highlighted in yellow on left side of screen
o       Sign In for more complete access to the website.
§         Click on Find Existing Record at bottom of the sign in screen
§         Type in your Last Name , your Street #, and your Email Address and click on Find My Record
§         If you are in the database, your password will be emailed to you.
§         If you are not yet in the database, you will be prompted to enter your information and a new record will be created.

How online bidding will work

To bid in our online auctions, you must be signed in to maestroweb.com. Follow the specific website directions above to create a new record or sign in using an existing record. Our online auction follows the ebay model. You can set the system to bid automatically for you by naming your upper price limit. In the event that matching bids are received, one manually and one automatically, the system will take the automatic bid as the winner.
